One Project is looking for an Operations Associate to join our team. You'll work across departments, providing administrative support and operational coordination that spans multiple projects and priorities. This role requires someone who can see the big picture while managing details—taking direction from multiple team members, understanding how different parts of the organization connect, and keeping numerous initiatives moving forward simultaneously.
Ideal candidates will excel at juggling competing priorities with the proven ability to create organizational systems that keep teams aligned. You'll need to anticipate needs, make connections across departments, and pivot quickly when priorities shift.
This is an excellent opportunity for someone with 3-5 years of experience supporting teams or multiple stakeholders, offering mentorship and growth potential within the operations function of an organization doing impactful, systems-change work.

Today’s current economic systems reward profit over people and the planet. This misaligned incentive structure drives the current global polycrisis. When trees are valued more dead than alive, we end up with ecological devastation. When oil remains profitable to extract and sell, we end up with the climate crisis. When war is more profitable than peace, we end up with a military industrial complex that thrives on endless wars. At One Project, we spent our first few years researching these interlinked challenges and realized that we need to address the root cause: we need a new economy with different incentives.

We are not alone in this realization. All around the world, there is a growing ecosystem of communities, movements, and experts who are already working towards a just transition to a new economy. We launched in 2021 with a focus on listening to and supporting these change-makers, and today, One Project is a leading grantmaker in the new economy space ($32M to date). Our current direction is the outcome of what we heard from more than 300 field leaders, dozens of leading organizations, and extensive in-house research: One Project’s role is to build shared infrastructure and a network to move resources to community control. We call this infrastructure Common.

What You’ll Do:
Operations & Process Improvement (40%)
- Maintain, evolve, and document organizational systems and processes that improve efficiency and streamline operations
- Support the team with calendar management and meeting coordination as needed
- Support grantmaking operations through application processing, deadline tracking, and administrative coordination
- Coordinate travel arrangements, event planning, vendor relationships, and support for team retreats and other events
Financial Operations & Procurement (35%)
- Process purchase requests, track expenses, and support budget oversight for operational costs
- Coordinate with finance team on expense reporting and reconciliation
- Handle procurement and shipping logistics
Technology & Systems Management (25%)
- Serve as the primary administrator for our Notion workspace and knowledge management systems
- Serve as Google Workspace administrator; maintain Google Drive structure and ensure appropriate content organization and storage
- Act as our "Asana ambassador," maintaining workspace hygiene and enabling cross-functional collaboration
- Manage software subscriptions, renewals, and vendor relationships
- Support the team with basic technical troubleshooting and training
- Evaluate, recommend, and implement technology solutions that support organizational growth
You may be the candidate we’re looking for if you bring:
- 3-5 years of experience supporting teams or multiple stakeholders in an administrative, operations, or project coordination role
- Strong organizational and project management skills with proven ability to manage competing priorities and meet deadlines consistently
- Experience with productivity and collaboration tools such as Notion, Asana, Google Workspace, or similar platforms, with ability to learn new technology tools quickly
- Systems thinking and process improvement mindset - you find satisfaction in creating systems to make sense of ambiguity and streamline operations
- Financial coordination experience including expense tracking, vendor management, and basic budget oversight
- Event planning and logistics coordination experience, including travel arrangements and vendor relationships
- Excellent communication skills with ability to work effectively across departments and take direction from multiple team members

The salary range for this role is $70,000 - 85,000, commensurate with experience. One Project offers competitive salaries and comprehensive benefits to attract the strongest candidates and to reflect our values.
